First time using films in your class? Films can be a great way to raise interest, provoke discussion, increase understanding of a topic, and introduce or conclude a unit of study. Here are some general suggestions to consider before showing a film in class.

Schedule Media

To insure that a UW Libraries media item is on-hand when an instructor at UW needs it, we use a booking system to schedule materials at the Media Center. Classroom and course reserve use receives priority. If an item is not needed in the classroom or on course reserve then it is available for check out by other students, faculty, and staff, including borrowers from Orbis Cascade Alliance (Summit) at other colleges and universities.

How do I schedule a film for classroom use? Please request items at least 7 days before the date needed to help ensure availability. You may submit booking requests in person, by phone (206-543-6051) or email (medialib@u.washington.edu) at any time throughout the quarter. Please provide contact information in case there are any scheduling conflicts. If your viewing dates are set for the quarter, you may book all the films needed for the entire quarter at once. Although we try our best to expedite "short notice" requests, booking early provides the best assurance that materials will be available when needed.

Regardless of the format or method of request, instructors are urged to supply the following important information:

When will the item be ready for pickup? Booked items are pulled from the shelves on the morning of the booking date and placed on hold under your name. Booked items are checked out using your Husky card.

Can I have an assistant pick up the films? Can my assistant or a student helper check out the films using my card? You may designate another person to pick up your booked items. However, borrowing privileges are not transferable, so the person must use their own Husky card or a proxy card. We will not check out items to your account unless you are present.

How long can course reserve items be borrowed? The general loan period for DVDs & VHS tapes is 7 days. CDs can be borrowed for 3 days. Course reserve items have brief 2, 4, or 24 hour loan periods, though instructors may check out videos and films for up to a week for classroom showings.  Keep in mind that transportation times to other UW campuses, or to one of our off-campus partner libraries, may render a media item off-site and unavailable for some time.

Course Reserves

What are course reserves? Instructors may place UW Libraries-owned media items, such as videotapes, DVDs, and audio recordings, on reserve for students to view in the library. Summit and Interlibrary Loan materials may not be placed on course reserve. Instructors' personal copies may be placed on reserve at the owner's risk. If not retrieved at the end of the quarter, personal copies will be returned via campus mail.

Reserves generally check-out for 2 or 4 hour loan and are in-library use only. This way a greater number of students can use them in a shorter amount of time. You may also request to place items on a 24 hour circulating reserve. Please note that items on reserve may still be checked out by other faculty members -- so if there is a certain date you plan on screening a reserve item in class, we recommend that you schedule it with us ahead of time.

Streaming Reserves

Purchase Suggestions

If you would like to suggest an item be added to the Media Center's collections, use the online Purchase Request Form. Please indicate whether the item is to be used in a course and how soon the item is needed.

To browse catalogs of films and documentaries available for purchase, see the list of commonly used media distributors. If you have questions about media selection, or need assistance locating materials not already in the collection, contact medialib@u.washington.edu. We can work with you to find films which support your particular course.The Head of Distributed Media reviews all requests and makes purchase decisions based on the UW Libraries Media Center Collection Development Policy.

Request Educational Media Collection (EMC) Titles

The EMC (formerly held by Classroom Support Services in Kane Hall) is in the process of being integrated into the Media Center. Due to preservation and cataloging related concerns involved with this process, we require a minimum of 3 weeks advance notice in order to ensure availability of a title.

NOTE: this collection is no longer available to users outside of the University of Washington or Summit network.

There are 3 ways to submit your request:

  1. Come to the Media Center service window.
  2. Email medialib@u.washington.edu.
  3. Call 206-543-6051.
